Who we are
This website is operated by Rubrics Architects Limited, company number 11421113, at Michelin House, 81 Fulham Road, London SW3 6RD. We are responsible for the personal data described in this notice. You can contact us at info@rubrics.co.uk or on 020 7871 3054. If your enquiry leads to an appointment, its terms identify the responsible business.
What we collect
You can browse this website without creating an account. To make an enquiry, contact us by email or telephone.
Enquiries. We receive the information you choose to give us, typically your name, contact details, the organisation you represent and the subject of your enquiry.
Website visits. Our hosting providers process technical information needed to deliver pages and protect the service, such as your IP address, browser and device information, the pages requested and the time of each request. This may be recorded in service and security logs.
Why we use it and our lawful basis
- Responding to enquiries. Where you, as an individual, ask us to take specific steps towards a contract with you, such as preparing a fee proposal, we process the information necessary to take those steps at your request. For general enquiries, and where you contact us on behalf of a company or other organisation, we rely on our legitimate interest in answering correspondence and considering new work.
- Delivering and securing the website. We rely on our legitimate interest in running a working, secure site, including preventing abuse and diagnosing faults. Our hosting providers may also process some network and security data for their own purposes under their own privacy notices.
We do not use this website or your initial enquiry to make automated decisions about you.
Who receives information
For the purposes described above, information is processed by our website hosting platform, OpenAI Sites, which runs on Cloudflare infrastructure, and our email and IT service providers. We may also share relevant information with professional advisers where necessary, or disclose it where the law requires us to do so.
How long we keep it
We retain enquiry correspondence only while it is needed. Our retention decisions take account of the nature and scope of your enquiry, whether discussions are continuing, whether it becomes part of a client or project record, and any legal, professional, insurance or dispute-related reason to retain it. We remove it when these purposes no longer require it. Technical logs are managed by our hosting platform under its terms. You can ask us how these criteria apply to your data.
International processing
Our hosting platform uses global infrastructure, so technical information may be processed outside the United Kingdom. OpenAI's published data processing terms describe contractual safeguards for transfers of UK data: see the ChatGPT Sites Data Processing Addendum and the OpenAI Data Processing Addendum. Contact us for further information about the safeguards applicable to your data, including how to obtain a copy.
Cookies and tracking
We do not add analytics, advertising or marketing cookies or tracking to this site. The hosting infrastructure can use operational or security technologies to deliver and protect the site. We will update this notice if we introduce anything that requires your consent.
Your rights
Depending on the circumstances, you may ask for access to your personal data, correction of inaccurate data, erasure, and restriction of processing. Where information you provided is processed by automated means on the basis of a contract or requested steps towards one, you may also have a right to receive it in a portable format. To exercise a right, contact us using the details above; we may need to confirm your identity.
Your right to object
Where we rely on legitimate interests, you have the right to object at any time, on grounds relating to your particular situation, to our processing of your personal data. If you object, we will stop unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or need the information to establish, exercise or defend legal claims. You can object to the use of your information for direct marketing at any time.
Complaints
Please contact us if you are unhappy with how we handle your data. You can also complain directly to the Information Commissioner's Office: make a data protection complaint to the ICO.
